Scratch First, the team behind Wonderfruit and Fruitfull, is looking for a highly skilled and detail oriented Operations Admin Specialist to provide comprehensive administrative support and oversee the operations of FestivalPro, our festival management software. As a FestivalPro Super Admin, you will play a vital role in ensuring the successful execution of all festival-related activities by managing and maintaining the FestivalPro platform.

The Role
FestivalPro Administration:
  • Serve as the primary administrator for the FestivalPro software platform.
  • Set up and configure FestivalPro to align with specific event requirements and workflows.
  • Create and manage user accounts, permissions, and access levels for festival staff.
  • Ensure data accuracy and integrity within FestivalPro by regularly auditing and updating information.
  • Provide user support and training to staff members on how to effectively utilize FestivalPro.


Festival Operations Coordination:
  • Collaborate with various internal teams to gather event-related information and input it into FestivalPro.
  • Manage and update festival schedules, artist lineups, vendor information, and other relevant data within FestivalPro.
  • Coordinate and oversee the integration of FestivalPro with other operational systems and tools.
  • Generate reports and analytics from FestivalPro to support decision-making and operational planning.
  • Monitor and troubleshoot any technical issues or glitches within FestivalPro, liaising with technical support if necessary.


Vendor and Contractor Management:
  • Utilize FestivalPro to manage vendor applications, contracts, and communications.
  • Coordinate vendor and contractor information, including contact details, payment terms, and performance evaluations.
  • Maintain an organized database of vendors, contractors, and suppliers within FestivalPro.
  • Assist in coordinating logistics, timelines, and deliverables for vendors and contractors.


Communication and Collaboration:
  • Collaborate with internal teams to ensure effective communication and coordination of festival-related information within FestivalPro.
  • Provide guidance and support to festival staff on how to use FestivalPro efficiently.
  • Facilitate cross-departmental collaboration by encouraging the use of FestivalPro as a central information hub.
  • Act as a point of contact for FestivalPro-related queries and provide timely responses and solutions.
Candidate requirements
  • Bachelor’s degree in Event Management, Business Administration, or a related field (or equivalent experience).
  • Proven experience in festival operations or event management.
  • Proficiency in using FestivalPro or other festival management software platforms.
  • Strong technical skills with the ability to troubleshoot and resolve software-related issues.
  • Excellent organizational and time management skills, with keen attention to detail.
  • Strong communication and interpersonal skills, with the ability to collaborate effectively with various stakeholders.
  • Ability to multitask and work in a fast-paced, deadline-driven environment.
  • Problem-solving mindset and ability to adapt to changing circumstances.
  • Familiarity with festival logistics, artist management, and vendor coordination is desirable.
  • Availability to work flexible hours, including evenings, weekends, and holidays, based on event demands.
