Scratch First, the team behind Wonderfruit and Fruitfull, is looking for an experienced and detail-oriented Operations Coordinator – Hotel and Accommodations to join our team for Wonderfruit 2023. As the Operations Coordinator, you will play a crucial role in managing all aspects of hotel and accommodations operations, ensuring a seamless and exceptional experience for our attendees, crew, and artists.

The Role
Accommodation Management:
  • Coordinate and manage all aspects of hotel and accommodations for Wonderfruit 2023, including bookings, reservations, and room allocations.
  • Collaborate with hotels, resorts, and other accommodation partners to secure room blocks, negotiate contracts, and ensure availability.
  • Oversee the booking process, including guest registration, check-in, and check-out procedures.
  • Maintain accurate and up-to-date records of accommodation bookings and guest information.

Guest Services and Support:
  • Provide exceptional customer service to staff & artists, addressing inquiries, resolving issues, and ensuring a positive experience throughout their stay.
  • Coordinate with hotel staff and internal teams to fulfill guest requests and special accommodations.
  • Assist with managing guest feedback and conducting post-event surveys to gather feedback and identify areas for improvement.

Rooming List Management:
  • Collect and manage rooming lists from internal departments, vendors, and group bookings.
  • Ensure accurate room assignments, room configurations, and special requests are communicated to the accommodation partners.
  • Regularly update and communicate rooming lists to relevant stakeholders.

Communication and Collaboration:
  • Facilitate effective communication and collaboration between internal teams, accommodation partners, and accomodation vendors.
  • Liaise with hotel staff, addressing any operational concerns, ensuring the smooth execution of accommodations-related activities.
  • Provide timely updates and reports to the Operations Manager and other stakeholders regarding accommodation logistics and guest services.

Health and Safety Compliance:
  • Ensure compliance with health and safety regulations and guidelines in the accommodations area.
  • Collaborate with accommodation partners to implement and enforce health and safety protocols.
  • Monitor and address any safety-related issues or concerns related to accommodations.
Candidate requirements
  • Bachelor’s degree in hospitality management, Event Management, or a related field (or equivalent experience).
  • Proven experience in hotel operations, accommodations management, or a similar role, preferably in the events or hospitality industry.
  • Strong organizational and time management skills, with the ability to multitask and prioritize effectively.
  • Excellent attention to detail and accuracy in managing rooming lists, reservations, and guest information.
  • Customer-oriented mindset with exceptional interpersonal and communication skills.
  • Ability to work well under pressure and resolve conflicts or issues in a professional and timely manner.
  • Familiarity with hotel reservation systems and software.
  • Strong problem-solving skills and ability to think on your feet in a fast-paced environment.
  • Availability to work flexible hours, including evenings, weekends, and holidays, based on project demands.
