About the Role
Scratch First is looking for a Music Advancing Coordinator to join our team full-time. In this role, you will be the key liaison between artists, management teams, and production staff, ensuring that all logistical, technical, and hospitality arrangements run smoothly. You’ll be working across multiple departments to coordinate artist travel, accommodation, technical & hospitality riders, marketing needs and support the Music Team for all their events.
Key Responsibilities
  1. 1. Artist Liaison & Communication
    • Serve as the primary point of contact for artists and their teams during the advancing process.
    • Ensure all artist information (travel, accommodation, guestlists, riders) is collected, verified, and updated.
    • Communicate clearly in both Thai and English with international and local artists, production teams, and partners.
  2. 2. Travel, Accommodation & Hospitality Advancing
    • Coordinate flights ( if needed), visas (if needed), ground transport, and accommodations according to festival policies.
    • Ensure smooth ground transport and coordinating with our Artist Liaison team, adhering to sustainability-focused pick-up points.
    • Oversee guestlist requests and ensure final submissions are locked in by the given deadlines.
  3. 3. Technical & Production Coordination
    • Work closely with production teams to ensure technical riders, stage plots, and backline requirements are met.
    • Confirm soundcheck schedules and ensure all advancing details are accurately communicated to artists and crews.
    • Be on-site during any Scratch First Event where Music Team is involved to troubleshoot any last-minute technical or advancing issues.
  4. 4. Administrative & Reporting Tasks
    • Maintain up-to-date records in Google Sheets, Tally Forms.
    • Ensure invoices and payments comply with festival policies (including withholding tax regulations).
    • Create post-event reports highlighting key successes, challenges, and areas for improvement.
Ideal Candidate

Experience & Skills:

  • 3+ years of experience in artist advancing, artist relations, event production, or tour management.
  • Deep understanding of artist touring logistics, festival operations, and technical riders.
  • Excellent organizational and problem-solving skills with the ability to multitask under pressure.
  • Ability to handle last-minute changes professionally.
  • Proficiency in Google Sheets (excel),Tally Forms, email management
  • Other Requirements:
  • Fluent in Thai & English (spoken & written)
  • Based in Bangkok, Thailand
  • Available full-time, with full commitment on-site from 09–16 December 2025.
